Special Assistant, US Climate Alliance

Position Overview

The U.S. Climate Alliance is a bipartisan coalition of governors committed to upholding the goals of the Paris Agreement.  The U.S. Climate Alliance secretariat provides strategic, convening, analytical and other functions to support Alliance states in making progress on their climate priorities.  For more information on the on the Alliance, please visit www.usclimatealliance.org.

The U.S. Climate Alliance Secretariat is seeking a Special Assistant ready to contribute to its core operational, event planning, research, peer-to-peer learning and coordination work. The Special Assistant reports to the U.S. Climate Alliance Secretariat Executive Director in support of Alliance states and will be expected to work as part of a broader team that includes Alliance staff, consultants, external partners and member states.  The Special Assistant supports and responds to state-led initiatives and works with the Energy and Climate team at the United Nations Foundation, which houses the U.S. Climate Alliance Secretariat.

Essential Functions

  • Schedule and support all meetings for the Executive Director, including taking notes, tasking and tracking action items, coordinating team assignments, and managing special projects as needed.
  • Execute core operational needs such as:
    • working with leadership to develop and maintain processes, protocols and templates.
    • supporting engagement with our fiduciary, including by identifying and proposing solutions to operational bottlenecks; and
    • reviewing and processing contracts, invoices, and grant agreements, under supervision of senior team members.
  • Produce a weekly newsletter for Alliance states, which includes coordinating team input and researching developments in state and federal policies and programs.
  • Support the Communications Director to maintain the Alliance website, develop social media, and iterate on other communications collateral.
  • Support the planning and execution of in-person and virtual events, including logistics and event advertisement.
  • Research topics relevant to state climate policy and present findings in various formats (presentations, briefing notes, reports, social media, etc.) as requested by senior staff and states.
  • Additional support tasks as needed.

Selection Criteria

  • Applicants must have 5 years of relevant experience OR an undergraduate degree with 2-3 years of work experience OR a graduate degree. Strong preference for those with demonstrated experience managing up to help keep a busy executive on task.
  • Strong organizational skills, attention to detail, and ability to logically coordinate across the team.
  • Strong research and writing skills, including the ability to understand and produce deliverables for a specific audience and to synthesize unfamiliar material under the guidance of senior team members.
  • Strong oral and written communication skills, including the ability to succinctly brief senior leadership on important topics.
  • Demonstrated ability to manage multiple time-sensitive projects with competing priorities while adhering to deadlines.
  • Ability to work independently, solve problems, take initiative, exercise judgement, and use discretion.
  • Be self-motivated, ready to learn, responsible, flexible, hard‐working and committed to the mission of the U.S. Climate Alliance.
  • Experience managing an executive calendar a plus.
  • Previous project/program management experience a plus.
  • Experience or interest in state climate policy a plus.
  • Familiarity with relevant software (e.g. Outlook, Salesforce, Zoom, Squarespace) a plus.
  • Fun, friendly and collaborative.
  • Fluent in English.
  • Must be authorized to work in the United States.
  • Must be able to work from Washington, DC.
  • Ability to meet regular attendance/tardiness policy.
  • Ability to work under pressure and handle stress in a fast-paced organization.
