Position Overview

The United Nations Association of the United States of America (UNA-USA) informs, inspires and mobilizes Americans to support the principles and vital work of the United Nations.  UNA-USA’s grassroots membership includes over 200 chapters and more than 20,000 members nationwide who engage in public education and advocacy, promoting strong US-UN relations. UNA-USA is a program of the United Nations Foundation. UNA-USA and its sister organization the Better World Campaign represent the single largest network of advocates and supporters of the United Nations in the world.

The Operations Associate, UNA-USA is responsible for administrative, logistical, and programmatic support of UNA-USA’s major initiatives. Critical elements of this position include managing the membership database and related projects, providing excellent customer service, conducting in-depth reporting and data analysis, oversight of contracts and agreements, arranging registration for events, processing honorariums and stipends, supporting events and program logistics, and providing administrative support for the UNA-USA team, chapter leaders, and National Council.

The Operations Associate, UNA-USA, reports to the Managing Director, UNA-USA and is based in Washington, D.C. (hybrid role).

Essential Functions

Membership & Customer Service
  • Maintain membership data in Salesforce to ensure accurate, current information.
  • Compile monthly membership reports and analysis for internal and external purposes.
  • Process member benefits for varying member categories (e.g. mail Lifetime pins, etc.)
  • Serve as point person with CRM team to oversee all projects related to Salesforce, EveryAction, Upland, and other platforms used by UNA-USA team.
  • Process and distribute all monthly membership reports and quarterly cash reports to UNA-USA chapter leaders.
  • Work with Managing Director to coordinate new and renewal membership mailings with printer, includes list generation and inventory oversight.
  • Oversees general email inboxes and responds to applicable messages or directs to appropriate colleague.
  • Supports membership-related activities on UNA Forum (UNA-USA online community platform), including membership verification, Affinity Group approvals, and technical support.
Events & Programs Support
  • Set-up and maintain registration for national UNA-USA events—both virtual and in-person—including Global Engagement Summit, Leadership Summit, UN Day, and other programs as necessary.
  • Support pre-registration, onsite registration, and post-registration logistics, including name tag production, attendee materials and reporting.
  • Provide support for national sponsors or exhibitors at UNA-USA events, including payment processing.
  • Process speaker stipends/honorariums for all UNA-USA events.
  • Process PRFs to speakers and partners as assigned/needed.
  • Arrange contracts and payment processes for UNA-USA events and programs related to venue, catering, and other vendors.
  • Provide support for national sponsors or exhibitors at UNA-USA events, including payment processing and agreements.
  • Provide support as necessary, including outreach, communications, logistical assistance, speaker facilitation, or session development for UNA-USA events such as Global Engagement Summit, UNA-USA Leadership Summit, UN Day, etc.
National Leadership Support
  • Schedule monthly calls and send out meeting reminders for the National Council and National Council Committees as appropriate.
  • Provide logistical support for National Council meetings (i.e. agendas, presentation support, catering, name plates, etc.).
  • Provide logistical support for National Leadership calls as needed.
  • Serve as staff liaison for the UNA-USA National Council Nominating Committee including administration of regular and special elections of Regional Representatives.
  • Set-up and maintain application process and registrations for UNA-USA delegates participating in national and international events.
  • Process stipends and LOIs for national leadership.
  • Disseminate UNF and BWC reports/communications to national leadership as needed.
Affinity Group Support
  • Act as staff liaison to assigned UNA-USA Affinity Group
  • Meet periodically with Affinity Group Advisor and Affinity Group Co-Chairs 
  • Support annual nomination and election process of leadership
  • Provide some administrative functions (e.g. Zoom calls, virtual program management, etc.)
Other Duties
  • Coordinate travel arrangements (transportation, lodging, travel advances, schedules) and process expense reimbursements for senior staff as needed.
  • Coordinate the processing of all contracts and agreements for the UNA-USA team.
  • Maintain a working knowledge of the UNF agreement process (both for contracts and grants)
  • Assist with drafting and reviewing agreements while maintaining and understanding of existing agreement terms and applicable flow downs.
  • Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information, and prepare reports.
  • Provide administrative support to Executive Director.
  • Maintain inventory of UNA-USA swag and supplies for staff.
  • Coordinate UNA-USA “swag” orders with designated vendors and manage UNA-USA store with vendor(s).
  • Process PRFs to speakers and partners as assigned/needed.
  • Coordinate regular follow-up with chapter leaders on outstanding operational items.
  • Perform related duties and/or tasks as assigned.
Selection Criteria
  • Bachelor's degree in a related field.
  • 1-3 years’ professional experience.
  • Interest in international issues.
  • Proficiency in Microsoft products.
  • Database management experience required; Salesforce preferred.
  • Strong organizational skills required. 
  • Strong ability to multi-task and work in fast-paced environment. 
  • Ability to use critical thinking and problem-solving.
  • Ability to use discretion and independent judgment.
  • Excellent verbal, written, organizational, and interpersonal skills.
  • Ability to exhibit appropriate professional conduct with different audiences and stakeholders.

  • Some travel will be required.
